Providence is calling a Patient Registrar - Hospital Customer Service (0.0 FTE, Rotating/Variable) to Providence Newberg Medical Center in Newberg, OR. This position is on-call and requires availability for a minimum of 8 shifts per month/after the first 3 weeks of full-time training.

We are seeking a Patient Registrar - Hospital Customer Service who will be responsible for the efficient and orderly registration of inpatients and outpatients in the Emergency Department. Ensure that accurate patient information is collected in a prompt and courteous manner.

In this position you will have the following responsibilities:

  • Registration Functions:

  • Registration Quality -

  • Consistently obtains and/or verify all data set elements and accurately documents in computer system

  • Enter appropriate Standard Notes. Accounts produced are complete, compliant, billable, and do not require additional rework or intervention. 97% or greater registration quality required to Meet Expectations; 98.5% or greater registration quality required to Exceed Expectations; 99.5% or greater required to Far Exceed Expectations. Registration quality of 96.5% to 96.99% will be rated as Meeting Some Expectations. Registration quality less than 96.5% will be rated as Does Not Meet Expectations.

  • Person/Account Identification -

  • Accurately select/enter patients and guarantors using three identifiers

  • Assist in the maintenance of an accurate patient/guarantor database by following procedures for appropriate resolution and reporting of incorrect MPI entries including incorrect patient or guarantor registrations, duplicate Social Security Number entries and duplicate Medical Record entries

  • Select the correct account when making changes/updates to patient status or information. Verifies accuracy of all armband information and places the correct armband on patient

  • Productivity - Complete registration functions and all other departmental responsibilities timely; utilize department and facility best practices to ensure efficiency; when applicable consistently requests, collects and documents copay collections; uses low volume times productively

  • Technical Skills - Demonstrate computer proficiency including registration and clinical systems, web sites and software. Maintain job knowledge by attending meetings, reading/completing educational resources, accurately selects, interprets and enters orders as applicable

  • Compliance:

  • Adhere to Federal, State and PH&S laws, regulations and policies including HIPAA (safeguarding PHI, selection of correct physician/provider address), EMTALA, CMS (including MSP and IMM), Joint Commission

  • Ensure all forms are provided and completed per department standard and all required follow-up has occurred

  • PBX:

  • Receive and process all external, internal, physician's answering service and long distance calls to the facility through a complex multi-line phone system

  • Prioritize calls as need arises and respond appropriately to STAT, Code and other emergency calls

  • Operate the public address system which includes paging of physicians, medical personnel and all emergency codes

  • Activate pages as requested for physicians, medical personnel and emergency services for codes, emergencies and other needs

  • Prepare daily and monthly call schedule and duty assignments for various departments and physicians using Excel

  • Communicate effectively with compassion and sensitivity, anticipating the needs of patients, families, physicians and their office staff, co-workers, supervisors and other hospital departments

  • Provide superior customer service through telephone or personal contact that consistently meets and exceeds the expectations of patients, visitors, physicians and PHS staff

  • Emergency Room:

  • Complete "full" Emergency Room Registration with the patient’s social, demographic, and financial information

  • Notify Triage nurse of patients arrival

  • Monitor and update IBEX according to policy/procedure

  • Follow policy/procedure for "uninsured" patient as defined by PHS providing patient with Financial Assistance information and accurate documentation of standard notes for uninsured patient

  • Serve as main receptionist for ED. Assume responsibilities of main receptionist for PNMC and PBX Switchboard after hours

  • Admit patients to the floor when advised to do so and generates all admitting paperwork required for the admission, this includes ED admission and OB admissions after hours

  • Obtain medical records number as needed using NEMO medical record search

  • Monitor safety/security systems installed in the Emergency Department following policies and procedures and notifies House Supervisor and Maintenance when appropriate


Required qualifications for this position includes:

  • High School Diploma -OR- GED

Preferred qualifications for this position includes:

  • One (1) year experience in customer service or healthcare registration

  • Satisfactory completion of college level Medical Terminology or Medical Assistant course

  • National Certification of CHAA

  • Registrar and third party payor experience

  • Healthcare experience, in either a provider or payor site
